Get a phone number for your academy with MatPilot Phone

MatPilot Phone gives your academy its own local number. Calls ring your team inside MatPilot, show who is calling before you pick up, and are saved to that person's record, so your personal mobile stays private.

Before you start

  • Only an owner can set up Phone. Managers use it once it is live.
  • Set it up on a computer, at app.matpilot.io: open Settings, Phone.
  • Phone is sold country by country. If it is not on sale where you are yet, the Phone screen says so, and you can ask to be told when it is.

1. Start your subscription

Choose Get my academy number. Before you pay, the screen shows the monthly price per number, the outgoing minutes included each month and the rate for each kind of call, all before VAT. Incoming calls answered in MatPilot are unlimited, within a fair-use allowance. Every rate is also at matpilot.io/phone-pricing, and you can cancel any time.

2. Send your company details

Phone numbers are regulated, so the regulator needs to know the business behind each one. You fill this in once:

  • your registered company name, and your trading name if it is different
  • your business type, company registration number (your CRO number in Ireland) and VAT number
  • your registered address, with no PO boxes. For an Irish number, the Eircode must be in the number's area.

Save for later keeps what you have typed, so you can finish another day.

3. Attach two documents

The regulator wants to see the paperwork behind what you typed. In Ireland and the UK that is your company registration certificate and a proof of address. A clear photo is fine.

4. MatPilot reviews it

Send your application and MatPilot checks it before it goes any further. That usually takes 2 to 5 working days, and you are notified when it moves on. The Phone screen shows where it is: Applied, In review by MatPilot, then Done.

If something needs fixing, you see Changes requested with a note from MatPilot. Update the application and send it again: everything else you filled in is kept. You can also Withdraw it and send it again later, with your details and documents kept.

5. Your number goes live

Once your details are approved, MatPilot sets up your number for your location and you are told when it is live. From then on it rings the people you choose: see Call forwarding, opening hours and voicemail in MatPilot Phone.

Another number, for another location

When your line is live, Settings, Phone, Settings has Add another number. It sends a request to MatPilot, which sets the number up with you, including which location it is for. Each additional number is billed monthly on your Phone subscription and adds no minutes.
