Xero: FAQ and troubleshooting

Do I need a Xero account?

Yes — the integration pushes into your own Xero organisation. Any Xero plan works.

Is it one-way?

Yes. MatPilot only writes the sales it creates into your Xero. It never changes your chart of accounts or reads your other data. Your Xero stays the source of truth.

What about VAT?

MatPilot posts invoices VAT-inclusive and sets the exact tax, so your VAT return (VAT3 / RTD in Ireland) is correct to the cent. You map each VAT rate to a Xero tax type when you set up the integration.

Which payments sync?

Member subscription payments and one-off charges taken through MatPilot. They appear as paid sales invoices in your Xero.

A payment didn't show up in Xero

  • Check the integration shows Connected (Settings → Xero).
  • Make sure your mapping is saved — a clearing account, an income account, and a tax type for that payment's VAT rate.
  • Payments taken before you connected Xero aren't backfilled (historical import is coming).

How do I disconnect?

Open Settings → Xero and tap Disconnect. MatPilot stops pushing immediately. Everything already in Xero stays — nothing is removed.
