Putting your cancellation policy in your membership agreement

The setting enforces your policy. The document is what makes it your policy in the first place.

Why this matters

A notice period in the app decides when billing stops. Whether you were entitled to that notice comes from the membership agreement the member signed. If the document is silent and a member disputes a payment taken during a notice period, the setting alone will not carry the argument.

What to write

Keep it plain and match what the app does:

Monthly memberships may be cancelled at any time by giving notice through the app. Cancellation requests must be received at least seven days before the next scheduled payment date. A request received in time means that payment is the last one, with access to the end of that period. A request received later means the next payment is taken as normal and the membership ends at the end of that period. Cancellation takes effect once confirmed. Anything already due before the effective date remains payable.

Change the number to whatever you have set. The two should never disagree.

Getting it signed

Add it to your membership agreement under My Academy, then Documents, and mark the document as required so new members sign it during onboarding. Existing members can be asked to sign the updated version from their profile.

Good to know

  • Change the notice period and the document should change with it. The app will not remind you.
  • Say what happens to anything already owed. Cancelling is not the same as clearing a debt.
  • If you are unsure how any of this reads in your country, take an hour of local advice. This article describes what the software does, and is not legal advice.
