Your cancellation policy
Where it lives
My Academy, then the Money tab, then Billing policy. Three things sit there:
- Notice period. How much warning you need before a member's next payment date. None, 7, 14 or 30 days.
- Refund on cancellation. Nothing, prorated or full. It only applies when you end a membership immediately, because a normal cancellation already runs to the end of a period the member paid for.
- Payment methods. Card, bank debit, or both.
Collection day (charging everyone on the same date each month) sits on the same screen.
It applies to everyone, both ways
The policy is held on your academy, not on a plan. Change it today and it governs the member who joined two years ago and the one who joins tomorrow.
It also applies whoever does the cancelling. A member who cancels from their own profile is held to exactly the same notice as a cancellation you make at the desk. Before this, a member could cancel through the payment provider's own page and your policy never got a look in.
What the screen tells you
Pick a notice period and the screen explains, in plain terms, what it does to a member who cancels in time and to one who leaves it too late. If you choose 30 days it also warns you that on a monthly plan that is almost the whole billing cycle, so in practice most members will pay one more month.
Good to know
- A notice period is only enforceable if it is written into the agreement your members signed. See Putting your cancellation policy in your membership agreement.
- Setting a notice period does not change anyone's price.
- Nothing here can end a membership on its own. Members ask, you confirm.
