A seminar is the best day of the year and the worst week of admin. Eighty people register through a form, half of them pay by transfer, some pay at the door, and the waivers get signed on a clipboard while the guest is already warming up. Two people turn out to have paid twice. One turns out to have signed nothing.
The guest wants a room full of people. You want the money in, the signatures on file and a list you can trust. None of that should need a spreadsheet.

Every seminar gets a public page on your academy's link, with the guest, the date in your own time zone, the price and how many spots are left, if you choose to show it. Share the short link or print the QR.
The poster studio makes the poster: 24 templates that take your logo, the guest's photo and the QR, sized for Instagram, a story or an A4 on the wall, and exported in a tap.
Signed before paid
Attach any of your documents to the event: the seminar waiver, the photo consent, your own terms. A guest reads and signs each one on the registration page, and only then sees the payment step. A member signs in the app; a document they signed when they joined is not asked for twice.
Every signature is filed on the event and, if you use OneDrive, copied into a folder named after it.
Member price, public price
Set the price everyone pays and a lower one for your own members. A member books in the app and pays the member price; a guest registers on the page and pays the public one. A visitor who trains with you without belonging pays what the public pays.
The roster counts tickets at the price actually charged, so a member ticket never reads as a fraction of a seat.
Several days, one purchase
A weekend seminar can run over two or three days, each saying what it is: gi on Saturday, no-gi on Sunday. A price per day, a price for the whole thing, and a day that costs more than the others when the guest is on the mat.
Whoever ticks every day pays the all-days price, never more than the person who chose it.
Free seminars, and courses too
An open mat or a free intro seminar needs no payment account: the registration is complete the moment the signatures are. Put a price on it later and the payment link appears.
A course is the same machine over a fixed term: a six-week fundamentals block, a competition camp, paid in one go or in instalments, with the roster and progress kept per person.

Questions about seminars
Do guests need a MatPilot account?
No. A guest registers with their name and email, signs on the page and pays by card. Their signed documents are emailed to them and filed on the event. A member of your academy signs in on the same page and books at the member price.
What happens when the seminar fills?
Set a capacity and the public link switches off when it is reached, so nobody pays for a place that is not there. You can show the remaining spots on the page, or keep the count private.
Can I run a free seminar?
Yes, without a Stripe account at all. Leave the price empty, attach the documents you need, and people register on the page; the ticket is written the moment they sign. If you later put a price on it, MatPilot creates the payment link then.
Where do the signatures go?
On the registration, with the document exactly as it read when it was signed, the signer's name, and the time. Staff see who signed what on the roster and can open any signed copy. With OneDrive connected, every signed document is also copied into a folder named after the event and its date.
What does a seminar cost me?
Nothing beyond your plan and the payment fees: Stripe's processing fee plus MatPilot's platform fee, 0.49% on Pro and 2% on the Free plan. The money lands in your own Stripe account.
