Pounds, to your own UK account
Members pay by card or Bacs Direct Debit through Stripe UK, and the money settles into your own Stripe account and on to your UK bank account. MatPilot never holds it. Bacs is switched on once, in your Stripe dashboard, and a member sets it up from the app.
The platform fee on Pro is 0.49% of each payment, on top of Stripe's own. Most platforms take 2 to 3%. On £8,000 of memberships a month that is the difference between £39 and £240.
VAT per plan, into Xero
Each plan carries its own VAT rate, every invoice shows it, and the Xero integration maps each rate to your own Xero tax rates. Each Stripe payment becomes an invoice and a payment in Xero against a clearing account, so a payout reconciles as one bank line.
Which rate a membership should carry is your accountant's call; the app makes it a setting rather than a spreadsheet column. The subscription itself is invoiced from Ireland.
Data in the EU, under the UK's adequacy decision
Your members' data lives in AWS in the EU (Stockholm), email goes out from an EU-verified domain, and every member and guardian can export or erase their data from the app. Under-18s' photos need a guardian's consent and are purged when it is withdrawn.
UK GDPR treats the EU as adequate, so there is no transfer paperwork to keep.
The family academy
Kids classes are most of a UK academy's evening. One parent pays once for every child on one subscription split per plan, a guardian signs the waiver for a minor from their own phone, kids and adult classes are gated by age, and a child never sees a price.
Your safeguarding process stays yours; the app carries the emergency contact on every profile and the roster can be filtered by who has none.

The website product designs and builds your site, hosts it, and puts it on your own domain with the timetable, prices and join link pulled live from the software.

Questions UK academies ask
Do you take Bacs Direct Debit?
Yes, through Stripe UK, alongside cards, once you switch Bacs on in your Stripe dashboard. A member sets it up once in the app and the monthly payment collects on its own; failed collections are retried and chased by the dunning flow.
Why is the subscription in euro?
MatPilot is an Irish company and bills in euro: €79 a month on Pro. Your members pay in pounds into your own Stripe account, and that money never passes through us, so the only euro line is our invoice.
Is my members' data held in the UK?
No, in the EU: AWS's Stockholm region, with transactional email sent from an EU-verified domain. The UK's adequacy decision covers the EU, and export and erasure requests are handled from the app.
Can I connect Xero?
Yes, on Pro. You connect your own Xero, map each plan's VAT rate to a Xero tax rate, and every Stripe payment is pushed as an invoice and a payment against a Stripe clearing account. A payout then reconciles as a single bank line.
What does it cost a 60-member an academy?
On Pro, €79 a month plus 0.49% of payments taken through MatPilot: about €44 in fees on €9,000 of monthly memberships, plus Stripe's own processing. On the Free plan the platform fee is 2% and there is no monthly charge.
