Billing

Sign today, start later.

A student walks in, loves the class, wants to join. One problem: she can only start in October. Send the link today and she is billed on the first. Wait until October and you are chasing a maybe. A first payment date ends the dilemma.

August 2026 · MatPilot

The commitment and the money, separated

When you assign a plan in MatPilot, you can now set a first payment date. The member gets the usual payment link, opens it, and saves their card, today, while the decision is warm. But nothing is charged. Their first payment lands on the date you agreed, and their billing cycle runs from that day forward, every month.

Today Card saved €0.00 charged NOTHING HAPPENS Oct 15 First charge €100.00 Nov 15 €100.00 Dec 15 €100.00 CYCLE RUNS FROM THE DATE
The whole idea in one line. Commitment today, money on the day training actually starts, and the billing day she keeps is the day she chose.

The member sees exactly what you promised, because the checkout says it in plain terms: nothing due today, the full price on the date, no asterisks.

Subscribe to BJJ Membership €0.00 due today Then €100.00 per month starting on October 15 Total due today €0.00 Subscribe
Not a free trial. The checkout never says "days free" or "start trial", because nothing is free. She is a paying member whose start date has not arrived yet.

Why the wording matters. A "16 days free" banner tells a member they can train free until the date. A first payment date says the opposite: you start later, and you pay from the day you start. Same card, same €0 today, a completely different agreement.

Two situations it was built for

The October student. Someone ready to commit who cannot start yet: moving house, finishing a season, recovering from an injury, back from the holidays. You capture the yes while it is a yes.

The migration. You are moving your academy onto MatPilot and every member already pays on a different day of the month, because that is the day they originally joined. Set each member's first payment date to their existing pay day, send the links, and every subscription starts exactly where the old one leaves off. Nobody pays twice, nobody gets a surprise new billing day.

Everyone keeps their day. Each member's new subscription is anchored to the day they already pay on, so the move is invisible to their bank statement.

How you set it

It lives where you already assign plans: open the member, assign the plan, and pick a First payment date in the same sheet where you set the price. The default is unchanged, they pay as soon as they open the link. Add a date, send, done.

1 Assign the plan Pick the plan, agree the rate, as always. 2 Set the date First payment: 15 October 2026 3 They commit The emailed link saves their card. €0 today. 4 It just runs First charge on the date, then monthly from it.
One extra tap. Everything else about assigning a plan, the agreed rate, the emailed link, the reminder, stays exactly as it was.

The small print, honestly

Three rules keep it predictable. The date must be at least three days out, so the link in their inbox cannot promise a date that has already slipped past. If they open a week-old link after the date has arrived, they are simply billed immediately, which by then is exactly what both of you want. And because nothing can be charged before the date, a plan's signup fee cannot ride on this checkout: MatPilot tells you so when you pick the date, and offers to email the fee as its own one-off payment link instead.

Assign with a date plan has a €50 signup fee ✉ Complete your membership €0 today, €100/month from 15 October. Button: Pay ✉ Payment request: Sign-up one time fee €50.00, paid once, whenever they open it. Button: Pay
The fee travels separately. Two clear emails beat one confusing checkout. Both buttons say Pay, because that is what they do.

And on your side? The member shows as active from the moment they commit, the pending assignment is visible on their profile until they do, and the whole agreement, date, rate, fee, is recorded on their timeline.
