Your go-live checklist
The six steps get you live. This is the list that makes the first week calm: what to have ready before your members arrive, and what is fine to leave for later. Nothing here blocks you from taking payments today.
Before you invite anyone
- Your academy details and logo. Members see it on their invitation and in the app: Uploading your gym logo
- The arts you teach. This sets the belt ladders, so ranks land correctly: Managing martial arts disciplines
- Your waiver. Required before anyone trains: Waiver and document management
- Your plans, at the prices you actually charge: Creating a membership plan
- Your weekly timetable, with capacity on the classes that fill: Setting up recurring classes
- Stripe connected, and payouts pointed at the right bank account: Connecting your Stripe account
- Your instructors invited, so attendance is not all on you: Inviting staff and instructors
- A test run. Add yourself or one friendly member, sign the waiver, book a class, take a payment. Ten minutes here saves a hundred questions later.
On the day
- Import or invite your members: from Stripe or by list
- Send one announcement telling them what to expect: Sending an announcement
- Put the kiosk tablet at the door if you have one: Setting up a kiosk tablet
- Take attendance in the first class the new way, in front of people, so it is normal by the second
In the first week
- Fill in belt ranks and, for kids, dates of birth: Setting a member's belt rank
- Link children to their parents: How children link to a parent account
- Set your cancellation policy and notice period: Your cancellation policy
- Nudge anyone who has not set up their account yet
- Check nobody is being billed by both systems
When things settle
- Move members onto direct debit: Cut your fees with direct debit
- Put your timetable on your website: Capturing leads from your website
- Connect your accounts: Connect your gym to Xero
- Ask the co-pilot what it sees: Navigating the owner dashboard
